In today’s industry, it is imperative to keep track of your Vendors’ insurance coverage.
For most companies, monitoring Vendor insurance is both an expensive and time consuming
in-house process. By out-sourcing Vendor insurance tracking to Registry Monitoring
Insurance Services, Inc., your company will acquire a full-time dedicated team to
provide current insurance information on the Vendors who service your properties.

To support the program, RMIS will utilize its standard Vendor-Pay Model for the
property management industry. RMIS will bill and collect from Vendors an annual
fee of $39.95 each time they are registered. This fee pays for the program in its
entirety. Your company will receive all RMIS services at no-out-of-pocket expense.
Program Description
The RMIS program offers a 100% outsourced solution for monitoring the insurance
coverages of Vendors who work on your properties. In addition to the monitoring
process, RMIS performs all Vendor communication including billing and collecting,
as well as interaction with insurance providers.
You simply:
- State what coverages you wish monitored (liability, workers comp, any others)

Specify your required coverage levels and certificate requirements (e.g., additionally
insureds) for each property you manage
- Provide RMIS a complete and current contact
list of your Vendors
Once your Vendors are registered, your staff will be able on an ongoing basis to:
- Receive e-mail Alerts when your Vendors fall out of compliance
- Access detailed Vendor coverage information online 24/7
- Download current certificates of insurance
- Access and download Vendor W-9 forms
- Receive daily or weekly email reports
- Receive up-to-the-minute updates on Vendor insurance coverages through our API /
XML “Real-time” link to your in-house management software. Our IT personnel will
assist your staff with any software adjustments necessary to establish the “real-time”
link, as well as provide continuous support.
To facilitate Vendor registration, RMIS will create a custom interactive website
with your company’s look and feel. This website enables Vendors to register
quickly and conveniently. They can also agree online to terms and conditions of
employment with your company through the use of check boxes with legal standing.
Vendors without Internet access may register by fax or telephone. To further assist
Vendors, RMIS employs bilingual Customer Service Representatives.

All Vendors are required to pay an annual fee of $39.95, which RMIS will collect.
Before your company’s account is activated, RMIS will send a Notice of Compliance
to each Vendor on your list. The notice will provide instructions on how to become
an “Approved” Vendor and list the program start-up date. Vendors will be “Unapproved” if, by the
start-up date or a subsequent annual renewal date, they fail to register, pay their
fee, or supply accurate certificates of insurance that meet your requirements for
coverage levels and additionally insureds. Such Vendors will be provided a 45-day
“Grace Period.” The client will be informed and if requirements for approval are
not met by the end of the period, the Vendor will be dropped from the program.
